Upper School Receptionist

Job Summary:

 

As the “voice” and “face” of The First Academy, the Upper School Receptionist should embody the joy, friendliness, and professional manner characteristic of a school training leaders for Christ.  The primary function of this position is to receive all incoming telephone calls and visitors to The First Academy. The receptionist is responsible for identifying the most appropriate person to handle incoming calls whenever possible, to minimize unnecessary call transfers.  This should be done as expeditiously as possible.  Since the receptionist is frequently TFA’s “first impression” with visitors, it is required that the receptionist be neatly groomed at all times, adhering to employee dress code requirements. This person will also be responsible for maintaining student attendance, safety and security by following related procedures.  He or she will perform a wide variety of receptionist duties in order to assure student attendance reporting is accurate and timely, student safety is the highest priority, and all customers (parents, students, visitors) are provided excellent customer service. This is a 10-month, hourly position.

 

Essential Job Functions:

  • All visitors to The First Academy should be screened to determine the individual they are visiting.  The individual being visited should be contacted, and the visitor should be asked to take a seat in the reception area until the staff member comes to receive them.

  • Maintain daily attendance for the Upper School and run attendance reports on a daily and weekly basis

  • Responsible for computer data entry on FACTS, log attendance and tardies/late check in of students.

  • Manages the school’s lobby area, responsible to maintain appearance and order. 

  • Greets and directs all visitors, including vendors, clients, job candidates and customers. 

  • Ensures completion of paperwork, sign-in and security procedures. 

  • Also may assist other administrative staff with overflow work, including word processing, data entry and internet research tasks.   

  • Places, receives and routes a high volume of calls through an electric switchboard. 

  • Handles the intercom system and makes periodic announcements at appropriate times

  • Handles paging needs and dismissals for athletic events

  • Programs the bell system

  • Supplies information to callers, relays messages and announces visitors.  

  • Performs basic clerical tasks, such as systematically arranging letters, memoranda, invoices and other indexed documents according to an established system. 

  • Operates office equipment and responsible for the proper maintenance of copiers and other office equipment in conjunction with the Divisional Assistant. 

  • Assists the Divisional Assistant with the ordering and organization of supplies in the copy room.

  • Sorts and distributes mail as needed. 

  • Required proficiency in basic word processing, spreadsheet, and database programs. Sorts and routes incoming materials.

  • May assist with proofing and editing of documents for publications 

  • Complete  miscellaneous tasks including copying, faxing, check requests, expense reports, ordering supplies, and other administrative duties as assigned.

  • Evidence a mature personal Christian faith consistent with the First Academy Statement of Faith including being a born again Christian, active Church member, exhibiting a close personal walk with Jesus Christ: modeling an exemplary Biblical lifestyle and evidencing maturity in the understanding and integration of sound Biblical principles in classroom instruction and personal counseling

  • Demonstrate an understanding of and a commitment to the distinctive qualities of Christian education
