Scope:
Computer Business Consultants is seeking a full-time Receptionist and Office Admin Support Assistant to join our team. This is an hourly position, from Monday to Friday, 8:15 a.m. to 5:00 p.m. The candidate must exhibit an enthusiastic demeanor and maintain a positive attitude. Responsibilities comprise providing general administrative support and basic technical support.

Job Duties:

  • Administrative Support: Print, photocopy, scan, fax, shred documents
  • Call Management: Expertly handle answering, screening, and forwarding phone calls, ensuring a smooth communication flow.
  • Customer Interaction: Actively engage with current and new customers through phone and email, providing personalized and timely responses and following company workflows.
  • Calendar Scheduling Support: Provide comprehensive administrative calendar management and scheduling support, ensuring optimal organization.
  • Shipping and Handling: Utilize company shipping accounts to create labels and ship packages
  • Mail: Sort and distribute USPS mail
  • Office Errands: UPS/FedEx Shipping, Client Deliveries, Office Supplies.
  • Assistant to CEO: Supports the CEO with scheduling, correspondence, project coordination, and administrative tasks to ensure efficient workflow and time management.
  • Internal Sales Support: Create vendor and client quotes. Submit quotes for client approvals.
  • Purchasing: Track and order office/kitchen supplies
  • Purchase Order Management: Process, track and receive purchase orders, ensuring accuracy and timely handling.
  • Office Maintenance: Perform weekly office walkthrough inspection. Schedule office maintenance when needed
  • Marketing and Events: Assist with marketing and company events.
  • Financial Document Organization: Download, categorize, and securely store vendor invoices and statements in the company directory.
  • Contact Database Management: Regularly update client and vendor contacts in ConnectWise, maintaining accurate and current information.
  • Social Media Engagement: Actively post on company social media to enhance online presence.
  • Service Request Processing: Accurately enter and manage service requests for current clients and opportunities for new clients.
  • Service Ticket Dispatching: Efficiently dispatch service tickets, ensuring prompt response to customer needs.
  • Security Compliance: Review and approve or deny SPAM-blocked email address allow requests from clients, maintaining security standards.
  • Backup Report Management: Assist in generating and reviewing daily backup reports, ensuring data integrity.
  • Client Device Audits: Conduct monthly audits and prepare reports of client device counts and usage for Management Agents, Hosted Email, Microsoft 365, and EDR agents.
  • Client Expiration Monitoring. Regularly monitor company interface for expiring client domains, SSL certificates, and warranties, ensuring timely updates and renewals.
  • Adaptive Responsibility: Undertake all other duties as assigned, showing flexibility and adaptability in a dynamic work environment.
