POSITION PURPOSE: Reporting to the Communications Director, the Office/Volunteer Manager is responsible for coordinating and providing administrative assistance to the Communications Director, Construction Director and Family Services Director and ED; and to maintain current and accurate records in databases and Salesforce as assigned for West Orange Habitat for Humanity (“WOHFH”) and to professionally represent the organization and to educate the community, increase awareness and engagement, and stimulate fundraising and volunteerism.
ESSENTIAL FUNCTIONS: In this position, working with internal and external teams, you will be organized, able to meet deadlines, skilled in computer, database and Salesforce use, prioritize tasks and responsibilities and manage multiple projects simultaneously. This position requires that you are able to articulate the organizations mission, values and goals and work with a diverse group of people and understand our Christian organization is necessary. Valid driver’s license, reliable transportation and willingness to travel as needed are required. Regular, dependable attendance is required and this position may require evening/weekends.
OFFICE MANAGER CORE DUTIES AND RESPONSIBILITIES:
Maintain a clean, well-organized and professional workplace and update on pertinent events and issues and other office duties. Maintain all employee, construction and homeowner data in database/Salesforce.
Ensure that all fundraising data is maintained and donor acknowledgements are provided within 48 hours of entry. Maintain board, volunteer and staff files, data and information. Assist with all internal and external events including meetings, orientations, fundraising, staff and other as needed. Maintain accurate partner family data and information in database. Prepare Habitat reports as requested. Oversee office volunteers in the office and volunteers in the field as needed
VOLUNTEER MANAGER CORE DUTIES AND RESPONSIBILITIES: Administer the volunteer program for WOHFH including the recruitment, retention, scheduling, coordination and recognition of work groups and individuals in cooperation with Communication Director, Construction Director and Family Services Director. Effectively and positively work with volunteers in the office, ReStore, construction sites and for all events to educate them on Habitat and their specific volunteer role and to thank and reward volunteers for their effort. Monitor the program for effectiveness through reporting and evaluation and maintain all volunteer records, volunteer data and reports through the affiliate’s tracking system in the database and Salesforce. Assist with special volunteer HFHI programs including Collegiate Challenge, Women Build, AmeriCorps, Carvanners and others as determined and with internal fundraising and other events. Assist with other volunteer needs as requested.
EXPERIENCE AND QUALIFICATIONS:
Required Experience: Associate’s Degree and/or preferred Bachelor’s Degree – Some volunteer management experience – or equivalent. Experience in multiple databases/platforms; SalesForce preferred.
Preferred Experience: Ability to manage multiple projects simultaneously and meet deadlines. Experience using Microsoft Suite, MailChimp, and others. Strong writing, oral presentation, and interpersonal skills. Experience supervising or managing volunteers.

PHYSICAL DEMANDS: This individual will be expected to sit frequently, with the physical demands typical of an office/administrative-type work environment. Occasional travel may also be required.
